RosterPro is a free youth sports team coordination app operated from Apex, NC. This privacy policy covers both the getrosterpro.com website and the RosterPro app. We are committed to protecting your privacy and being transparent about how we handle your data.

Information We Collect

Account Information

When coaches create a team, we collect their name and email address. Parents provide their name when joining a team via magic link.

Team & Event Data

Team names, event details (dates, times, locations), RSVP responses, volunteer signups, and player availability.

Device & Usage Data

We use Google Analytics (GA4) on our website to collect anonymized usage data including pages visited, referral source, device type, and browser. The app may collect device tokens for push notifications.

Communications Data

Email addresses used for magic link invitations and notification delivery.

How We Use Your Information

  • Providing and operating the RosterPro service
  • Sending magic link invitations to team members
  • Delivering push notifications, email reminders, and WhatsApp notifications about events
  • Displaying weather forecasts for event locations
  • Analyzing website traffic via Google Analytics to improve the site

We do NOT sell, rent, or share personal information with third parties for marketing purposes.

Magic Links & Authentication

RosterPro uses passwordless magic link authentication. We do not store passwords. Magic links are single-use, time-limited tokens sent via email. Each link expires after use or after a set time period, whichever comes first.

Push Notifications

If you opt in, we send push notifications about upcoming events, RSVP reminders, and team updates. You can disable notifications in your device settings at any time.

Data Sharing

We only share data with:

  • Other members of your team — your name, RSVP status, and volunteer signups are visible to your team.
  • Service providers — who help us operate the app (hosting, email delivery, analytics).

We do NOT sell your data. Ever.

Data Retention

We retain your data for as long as your account or team is active. If you leave a team or request deletion, we remove your personal data within 30 days.

Children's Privacy

RosterPro is designed for use by coaches and parents of youth athletes. We do not knowingly collect data directly from children under 13. All data is provided by adult coaches and parents.

Cookies & Analytics

Our website uses Google Analytics (GA4) which sets cookies to understand how visitors use the site. You can opt out by using browser privacy settings or the Google Analytics opt-out browser extension.

Your Rights

You can request to:

  • Correct inaccurate data
  • Delete your data
  • Export your data
